CANCELLATION INFORMATION
Essential Elements Outdoor Play Club is committed to providing families with the opportunity to partake in outdoor play activities, however our numbers are limited by our ratios. When a family cancels without giving enough notice, they prevent another family from participating in our program. We also book our spaces, resources and staff based on participant numbers.
General Cancellations
We understand that sometimes things come up and you may need to cancel. Please contact us via essentialelementsplay@gmail.com at least 48 hours before the program start time to qualify for a credit for your session. Cancellation within 48 hours of the program start time will result in a forfeit of all fees paid.
Cancellation due to Illness
If your child is unwell, for the safety of the community, please stay at home and notify us as soon as possible via essentialelementsplay@gmail.com and we will credit your session. On arrival at any Essential Elements Outdoor Play Club program if your child is showing signs of illness (fever, sore tummy, snotty nose or cough) we will contact you to come and pick them up and a credit will be issued. Because our fees, cost and staffing are based on particular ratios, we unfortunately cannot offer refunds if your child is absent due to illness. If your child becomes unwell during a session, we will contact you to pick them up but are unable to issue a refund or credit.
COVID 19 Absence
Due to the impact of COVID 19, a credit will be offered to any attendee who is absent due to illness or lockdown.
Minimum Numbers
If a program is cancelled where minimum numbers are not met, your family will be entitled to either a full refund, change of booking or a booking credit.
Severe Weather
Severe weather compromises the safety of all participants at Essential Elements Outdoor Play Club. The severity of the weather event can pose different challenges for different sites and may include but not be limited to thunderstorms, high winds with the risk of branches falling, flash flooding, or extreme heat.
If severe weather is forecast, the session may be cancelled in advance, where possible the night before but may be the morning of a session. A minimum of 2 hours notice notice will be given for same-day cancellations. If this occurs, we are able to offer a credit towards another session.
If a session is cut short or cancelled halfway through due to a severe weather event or unsafe conditions, we are unfortunately unable to credit or refund the day's fees.
Wet Weather
Our sessions will go ahead rain or shine, if safe to do so. Please check the weather forecast and pack wet weather gear and additional spare clothes if appropriate.
If rain gets too heavy to continue the outdoor program, we may be able to relocate and alternate activities arranged, however depending on the location and activity, this may not be possible and the session may need to be cancelled.
If you decide not to attend due to wet weather, we do not offer a refund or credit. Please check your emails and text messages on the morning of the session to ensure you don’t miss any important notices.
